Main duties of the job To lead on a variety of administrative duties to ensure the smooth running of the practice pertaining to Scanning, Coding and Summarising along with other administrative processes.
To provide administration support to the management team, working closely alongside the management team.Facilitate effective communication between all staff members, patients, members of the primary health care team, secondary care and other associated parties.Be a point of contact for the administrative team, carrying out reviews and appraisals, ensuring the team are working to set KPIs and troubleshooting where necessary, whilst liaising with management.

Be a point of contact for the administrative team, carrying out reviews and appraisals, ensuring the team are working to set KPIs and troubleshooting where necessary, whilst liaising with management.Participate in the co-ordination of the fire drills to comply with health and safety regulations.Job Responsibilities:Team leadAct as a point of contact for the administration teamCarry out probationary reviews and annual appraisalsEnsure the team are working to set KPIsLiaise with the patient services manager to address and resolve any issues that may arise.AdministrationTo have a thorough knowledge of all practice proceduresTo work in accordance with written protocolsCoding and scanning of documents as requestedTime management and prioritising workloadEnsuring summarising and read-coding of new patients previous medical records are completed to the agreed timescalesAuditing staff to ensure KPI targets are achievedCoding of sensitive and confidential information onto the GP databaseComputer SkillsGeneral computer skills, as full training providedSystem one knowledgeTelephoneTake calls from work colleagues or third parties and deal with their enquiry in a friendly, polite and professional manner.Other TasksDuties may be varied from time to time under the direction of the Management Team, dependent on current and evolving practice workload and staffing levels.Other TasksEnsure all backlogs are kept to a minimumEnsure annual leave and HR issues are monitored and dealt withAny other duties to lead the admin Team Person Specification Qualifications Essential Good standard of education Desirable Administration qualification Attendance on a coding course Experience Essential Customer Service Skills Experience of working in a busy & multi-functional team.
A minimum of 1 years experience working within Primary Care Experience of leading a team Using System One or other Clinical database Desirable A minimum of three years experience in a customer facing environment Experience of handling confidential information and data.
