Job Overview Working as part of a team in this purely office-based role of Trade Sales Administrator, you will be the first point of contact for your customers, swiftly addressing enquiries through phone and email in line with our own exceptional service level standards.
Training on our products & systems will enable you to provide accurate information and costs on our diverse product range.
You will follow those quotations through order to completion, ensuring customers expectations are accurately communicated throughout, liaising closely with production departments to track order progression.
Main Duties and Responsibilities Promptly respond to customer enquiries via email and phone, maintaining our multi award winning Service Level Standards (2-hour response time), while managing daily general administrative tasks such as order processing, data entry etc Discuss enquiries regarding price, delivery and product specifications with both customers and our production team to ensure expectations can be met.
Use our purpose-built systems to provide customers with accurate quotations by email with relevant product information.
Ensure timely follow-up on quotations issued to customers by phone and email.
Independently manage and process subsequent orders to completion, liaising with other departments as required.
Deliver exceptional friendly customer service consistently, building relationships with assigned accounts through regular communication.
Please note this role does not involve any cold calling.
Person Specification The Trade Sales Administrator should be a natural at customer service with strong administrative skills, excelling in system and process navigation, also adept at handling multiple tasks simultaneously.
The ideal candidate should be able to remain calm under pressure, have a very keen eye for detail and be eager to be a part of a hard-working, office-based team known for its dedication, friendliness and spirited work environment.
Experience, Skills and Knowledge Essential: At least 2 years experience in administrative roles within busy office environments Hands-on experience of database software or CRM software.
Proficient in other computer usage, especially email, Word & Excel along with a good technical aptitude.
An excellent team player.
Must have the ability to multitask in a fast-paced environment Ability to focus on repetitive tasks, processes and procedures.
Capable of adhering to established systems and processes.
Excellent communication skills at all levels, both verbal & written A good telephone manner is essential in this role and must be comfortable and confident handling calls and dealing with customer queries.
Excellent interpersonal skills, with an ability to communicate effectively across departments.
Excellent attention to detail Be able to work on own initiative, prioritise and manage workload effectively, with a proven ability to adhere to deadlines calmly.
Desirable: Familiarity with printing techniques.
A keen sense of design aesthetics, with a good eye for colour.
Experience of Apple Mac computers.
Qualifications Essential: Holds at least a grade C GCSE (or equivalent) in Mathematics and English Desirable: At least 4 other GCSEs (or equivalent) at grade C or above.
2 or more A-levels (or equivalent) Completion of an apprenticeship in a similar role.
Additional requirements Essential: Willingness to undertake training opportunities provided by the company.
