Main duties of the job Your main responsibility will be to oversee the reception team and coordinate the practice appointment system.
You will interact with and assist patients both face-to-face and over the telephone, ensuring the best patient experience from start to finish.We're looking for a full-time Senior Receptionist who is committed to working both early and late shifts, Monday to Friday.

Job description Job responsibilities Reception DutiesSupporting the Reception Supervisor to coordinate and support the reception team to ensure all services to patients are done efficiently, courteously and in a professional mannerAct as the first point of contact for all reception team queries and issues, escalating appropriately as neededPerform reception duties, including answering patient queries in person and on the phones, booking appointments, and handling patient registrationsParticipate in daily reception tasks such as processing prescriptions, post, scanning documents, and managing emails appropriately.Assist patients in-person and over the phone, providing a high level of customer service and ensuring patient satisfaction.Ensure patient confidentiality and data protection compliance in all interactions.Ensure you and the team are up to date with mandatory training requirements.Team LeadershipOversee and support the navigation of all patient queries and needs.Ensure all reception staff are patient, polite, and courteous at all times.Ensure team answer all calls with Good morning/afternoon, St Stephens Health Centre Your Name speaking, how can I help?.Act as the first point of contact for all reception team queries and issues, escalating appropriately as needed.Monitor team punctuality/timekeeping and ensuring breaks are taken appropriately and accurately.Assist to resolve conflicts within the team and with patients promptly and professionally.Attend team meetings to maintain clear lines of communication and address any concerns or updates.Provide guidance and advice to patients to reduce / prevent the number of complaints.
If resolution is not possible, initiate the complaints process and refer to the Deputy Practice Manager.Report and record known absences and holiday requests from reception staff to the Reception Supervisor, ensuring accuracy and adherence to the Employee Handbook guidelines at all times.Team OversightOptimise the efficient use of the EMIS Web for patient management / records / appointments.Assist the Reception Supervisor with the recall process, assisting the team in reaching their primary targets.Ensure prescription requests and queries are actioned in an appropriate and timely manner.Coordinate incoming and outgoing emails/post/documents, ensuring they are processed accurately and promptly.Ensure that both early and late shifts are simultaneously covered by a senior receptionist to maintain consistent supervision and support throughout the day.Ensure the appropriate use of the accuRx system for patient communication.
