Job summary An exciting opportunity has arisen within IM&T, to be a part of our Registration Authority team.
The service provides smartcard registrations and management services across the organisation including acute and community.The post holder acts in a position of trust on behalf of the organisation, with the responsibility to examine and validate the identity of people applying for NHS smartcard registration.
The jobholder will provide smartcard and registration services to clinicians, managers, and staff within the Trust, and will regularly work without supervision.
To be flexible and ready to work on any of the Trust's sites as required by service needs.They will be required to arrange appointments for members of staff to have new and replacement smart cards provided and diagnose smartcard issues and renew expired certificates.For any informal discussions or visits please contact David Ashford on 02072885162 Main duties of the job Provide an excellent quality of customer service to healthcare staff requiring Registration Authority services, ensuring that the applicant and senior management sponsor are satisfied with the outcome, at the same time taking full responsibility for adhering to the Registration Authority rules and procedures.Ensure that registration appointments are completed successfully or are suspended with negotiated actions agreed for the applicant to provide the required documents or are aborted with clear reasons explained to the applicant and sponsor.Ensure registration visits and appointments are planned, negotiating and if necessary, rescheduling with staff and managers, to make effective use of work time to meet the requirements of the overall service rota provided by the Registration Authority.Ensure all registration activity is undertaken in accordance with Information Governance policy, Data Protection Act, and Caldicott requirements.Ensure all registration activity is undertaken in accordance with Registration Authority security processes, policy and rules, and where applicants have difficulty with their proof of identity, help them by negotiating to find acceptable proofs of identity within the regulations.Validate personal identity evidence against current NHS requirements, rejecting sub-standard applications, but assisting sponsors and staff to make correct applications.

Job description Job responsibilities Provide an excellent quality of customer service to healthcare staff requiring Registration Authority services, ensuring that the applicant and senior management are satisfied with the outcome, at the same time taking full responsibility for keeping to the Registration Authority rules and procedures.Ensure that registration appointments are completed successfully or are suspended with negotiated actions agreed for the applicant to provide the required documents or are aborted with clear reasons explained to the applicant and Sponsor.Ensure Registration visits and appointments are planned, negotiating and if necessary, rescheduling with staff and managers, to make effective use of work time to meet the requirements of the overall service rota provided by the Registration Authority.Work with Medical and Senior Management sponsors to ensure they complete Registration application forms fully and accurately, explaining any refusal by the Registration Agent to accept a sponsors request.Validate personal identity evidence against NHS identity verification criteria, rejecting sub-standard applications, but assisting sponsors and staff to make correct applications.Ensure all Registration activity is in accordance with Registration Authority security processes, policy and rules, and where applicants have difficulty with their proof of identity, help them by negotiating to find acceptable proofs of identity within the regulations.Make accurate computer records of registrations, including making photo images for identification purposes to Registration Authority standards.Maintain tidy, accurate and auditable document records of Smartcards issued and revoked, and ensure cards are issued to the correct member of staff.Train users to self manage their own smartcard (for example unlocking and renewing their certificates)Ensure users have only one NHS smartcard issued to them showing their users Unique Identifier (UUID) and photograph, and that users are aware of their responsibilities relating to Information Governance and smartcard use.Provide a helpdesk and response service to resolve users smartcard problems and emergency situations by telephone or personal visit.Promote awareness of the correct use of smartcards, and PIN numbers.Ensure all registration activity is in accordance with Information Governance policy, Data Protection Act, and Caldicott requirements.Report and assist investigation of any data security infringements or incidents.Report works progress and problems, and carry out general administrative duties as required by the Registration Authority ManagerTo attend meetings and contribute to project teams as required to deliver effective and efficient registration services.The post holder is required to be based onsite full time.
