Main PurposeTo provide a first-class reception service to all guests, while maintaining the overall appearance of the Front of House.Main Duties Maintain the overall appearance of the Front of House ensuring a clean and professional workspaceAnswer main office phone line and directing calls as required in a prompt and professional mannerPAC access control - Ensuring all new staff are issued with staff access passes Issue security passes to employees, following the correct registration and security proceduresRecording and handing out day passes to visitors – ensure guests are signed in and hosts have been notifiedChange temperature across the office as and when required via BMS - landlords system -Audit Un-accompanied guest passes twice a weekArrange milk deliveries on a weekly basisOrder and replenish stationery in the post roomReceipt and distribution of incoming mailActing as overall administrator for Condeco room booking systemOrder stationery and sundries including business cards, headed paper, printer paper and tonerAction POs when requiredMaintain incident log and Wellness room keysBook couriers for Group employees when necessaryOversee housekeeper to assist with delivery of items and organisation within office rooms Working Requirement Required to be present in office 5 days a week (25 hours per week) Company Responsibilities To comply with all Be Safe policies and support new initiativesReplenish all first aid boxesAdvise safety information to external visitors and FirstGroup employees that are not based at The PointGive new employees tour of 8th floor Skills, Experience and Qualifications Customer service skillsAbility to work well with othersTo be thorough and pay attention to detailAdministration skillsPatience and the ability to remain calm in stressful situationsThe ability to accept criticism and work well under pressureSensitivity and understandingExcellent verbal communication skillsTo be able to use a computer and the main software packages competently Performance Measures Time managementResponding to emails and queries in a timely mannerProfessionalism when greeting visitors and speaking with colleagues FirstGroup's vision is to provide an inclusive environment for all colleagues, across its group of businesses, ensuring all candidates have an equal opportunity to access meaningful employment.We value our differences such as age, gender, LGBTQIA+, ethnicity, religion, and disability.
