People Assistant

Job summary The People Hub are a dynamic and busy team and we are looking for a proactive People Assistant who is passionate about HR to join us!
We provide support to 5 divisions across the RUH on all things people related.
In this role, you will be the first point of contact for all people queries, providing advice and sign posting to the relevant HR expert within the team.
Key parts of the role include: Managing the People Hub Inbox Providing admin support to the People Hub team and the Trust recruitment authorisation processes Processing maternity/paternity/shared parental leave applications Managing the right to work process for existing employees, applying for Certificates of Sponsorship where required and ensuring we retain accurate and up to date information in ESR and relevant systems Managing the fixed term contract reporting process and notifying managers of upcoming expiries Taking notes at formal hearings and meetings Ad hoc duties as and when required You don't necessarily need to have HR experience or qualifications, but you will need excellent communication skills, a friendly demeanour and the ability to adapt and be flexible.
You will need to be effective in working as a team player, as well as having a willingness to learn about HR processes and policies.Previous office or similar experience is desirable.

We offer hybrid working, with a requirement to be flexible as and when required, spending at least 2 days in the office each week.
Due to service requirements, you will be required to work on a Monday and Friday.
Main duties of the job To act as the first point of contact for the People HubTeam on the telephone and in person, using initiative to take appropriate action within limits of own role and updating staff and / or forwarding calls and taking accurate messages for members of the HR team.
To be tactful and confidential and demonstrate a positive and professional image for the department at all times.
To work closely with the People Business Partners, Deputy People Partners and People Advisors, to ensure that all audit requirements for the recruitment process are met, including Care Quality Commission (CQC) outcome 12 which monitors 'Right to Work' and pre-employment checks such as DBS and Professional Registration.
To generate and send out documentation in response to the monthly workforce information reports, sending out Maternity/Paternity Leave letters to staff who have submitted their forms, liaising with Payroll as necessary.
Conducting DBS (Disclosure Barring Service) and Right to Work in UK checks.
To respond in a timely manner to emails sent to the People Hub inbox and if appropriate, direct enquiries to the People Hub team.
Follow up and take action as appropriate.
To ensure that where new recruitment or financial changes are requested that these are raised with the Divisional Management Team through appropriate ITR processes.
Support the ITR (Intention To Recruit) and VCARP (Vacancy Control) process for the Trust.

Person Specification Qualifications and Knowledge Essential Educated to minimum equivalent of GCSE level (C or above in Maths and English) or equivalent experience Experience working in an office environment Knowledge and experience of implementing, developing and maintaining office procedures and systems Desirable Certificate in Human Resources Practice CIPD member RSA 2 typing or equivalent Experience Essential Experience of notetaking at formal meetings.
