Operations Manager The Operations Manager should play a crucial role in ensuring the smooth and efficient operation of an organisation, and their daily tasks revolve around managing people, processes, resources, and strategy to meet the company's goals and objectives.
Job Responsibilities: Strategic Planning : Responsible for overseeing the development and execution of the businesses strategic plans and working closely with the CEO and other members of SLT to ensure that the company is on track to meet its long-term goals.
Operational Oversight : Be in charge of the day-to-day operations of the company.
This includes working with various departments, ensuring that processes run smoothly, and addressing any operational issues as they arise.
Team Leadership : Lead and manage Operations Coordinator providing guidance, setting goals, and ensuring that each department is working toward its objectives.
Performance Monitoring : Track key performance indicators (KPIs) and metrics to assess the performance of different departments and the organisation as a whole and use this data to make informed decisions and improvements.
Problem Solving : Responsible for addressing operational issues and solving problems that arise on a daily basis.
Work with department heads to identify problems and implement changes/fixes for them.
Process Improvement : Continuously evaluate and improve operational processes to enhance efficiency and effectiveness.
They may introduce new procedures or technologies/apps to streamline operations.
Crisis Management : In the event of unexpected issues or crises, play a critical role in developing and implementing contingency plans to address these challenges.
Communication : Maintain extensive communication responsibilities, both internally and externally, communicate with employees, SLT and other stakeholders to convey important information and updates.
Meetings and Decision-Making : Participate in various meetings, including executive meetings and quarterly/annual meetings, contribute to decision-making and provide updates on the company's operations.
Talent Development/Recruitment : They may be involved in talent development and management, ensuring that the organisation has the right talent in place to achieve its goals, supporting other members of management with development objectives for various members of the business.
Adaptation and Innovation : Adapt to changing circumstances, keep updated on emerging trends and changes and may need to introduce innovative practices or technologies to keep the organisation competitive.
KPIs Pod Productivity : Output per pod.
Get the most output per pod and increase productivity.
Pod Profitability : The profitability per team.
Inject SOP & trainings that will allow each pod to handle the most amount of clients possible.
Operational Cost Efficiency : Monitor overall costs it takes to deliver our service.
Regular reviews on technology and Operating costs required to deliver the service.
Operational Projects : Own the company projects.
Work with the CEO to prioritise company projects.
Deliver all projects on or ahead of time.
Ensuring company progress does not halt.
Deliverables Operational Strategy Plan : Develop and present a quarterly operational plan based on the previous quarter numbers.
Business Reviews : Own the business reviews.
Work with all other departments leaders to ensure the Monthly, Quarterly and Yearly reviews are completed to the highest standard.
Client Onboarding Process : Streamline and improve the onboarding process.
Regularly review this process to see if there's any room for improvement.
Team Training Programme : Roll out quarterly training to refresh the team on current SOPs.
Process Optimisation Review : Conduct quarterly reviews on processes & costs to deliver service.
Hiring : Ensure we have a steady stream of candidates for important roles within the business.
Ensure we have no downtime or risk.
Comms : Keeping tabs on external client channels.
