Job summary The Medical HR Team have a vacancy for a full time Band 3 Medical HR Administrator.
The post holder will work alongside the Medical HR Team and contribute to the delivery of an efficient and effective medical recruitment service through a professional, customer-focused approach.
They will be responsible for supporting the Head of Medical Workforce and Medical HR Managers in the continual review of the recruitment processes and help to identify and implement changes to service provision by promoting improved ways of working.
The successful applicant will be confident with their communication skills, motivated, enthusiastic, team-player who has demonstrable administrative skills and a keen eye for detail whilst working to challenging deadlines.
***Preference will be given to internal Trust staff, as well as 'Priority' and 'At Risk' status including NHS At Risk staff throughout Devon who are able to display recent relevant experience as dictated by the Person Specification.

Job description Job responsibilities Processing recruitment related correspondence and documentation, ensuring efficient and accurate completion of safe recruitment procedures to include advertising vacancies, shortlisting, preparing and issuing contracts, in line with employment legislation, Trust and Department of Health guidelines.
Ensuring the whole recruitment process is carried out accurately, efficiently and in a timely manner in line with Trust Policies and Procedures.Responsible for processing and placing adverts (locally, nationally and internationally), liaising with advertising agencies and recruiting managers ensuring compliance with Trust procedures and journalResponsible for issuing accurate contracts of employment for new starters, this will include obtaining and assessing Inter Authority Transfer Forms to determine entry salary whilst ensuring salary entry points are in line with financial guidelines andInput data for vacancies/ applications, interviews, new starters and any other recruitment related information through HR onboarding systems such as Trac, NHS Jobs andUndertake all payroll processes, including the completion of payroll documentation in relation to new starters to the Trust and the issuing of the generic work schedules for Trust Doctors employed on the 2016 contract.Monitor the DBS processes in accordance with the requirements set out in recruitment protocols and escalate any issues through the appropriate channels whenComplete necessary paperwork for Tier 2 Visa applications, ensuring compliance with Trust and legislativeDeal with enquiries and promote the interests of University Hospitals Plymouth NHS Trust, optimising all recruitment opportunities including through the use of the Medical HR teams social mediaEnsure staff and members of the public are dealt with courteously, diplomatically andMaintain departmental filing systems (including electronic systems), ensuring that information can be retrieved quickly and efficiently.Ensure that new employees are booked onto relevant induction programmes and act as point of contact for applicants prior to commencement ofAssist in the delivery of medical recruitment related training including the use of Trac, NHS Jobs, ESR and policies and procedures asIn the absence of colleagues, support the Trust arrangements for the Trust Bank and Agency workers, liaising as necessary with the Doctors DirectCoordinator to maintain worker compliance and accurate ESR records.Update and maintain the alerts and dismissals list notifying relevant team members of and issues relating to new recruits to the organisation.Provide support and cover for team colleagues as required, on occasion this might include providing support and cover to other teams within the HRFor further details please see attached JD&PS.
Person Specification Knowledge & Experience Essential Demonstrable experience of working within a busy office environment Demonstrable experience within a customer service environment with focus on direct customer service Desirable Proven knowledge of safe recruitment checks and procedures Qualifications Essential NVQ level 3 in either business administration or related subject or equivalent demonstrable experience Desirable IT qualification , ECDL Aptitude & Abilities Essential Proven ability to provide excellent customer service to customers of all levels of seniority Excellent attention to detail
