Job description Job responsibilities PrincipalDuties Operatingthe administrative functions of the practices telephone booking systems.
Dealwith incoming telephone calls and act upon each appropriately offer andbook an appropriate appointment, refer for further clinical advice.Frontof house, welcome role, meeting and greeting patients coming into the practice.Work asa member of the reception team, providing all aspects of reception dutiesincluding taking and recording messages, booking of appointments for patientsand answering telephone enquiries.
Processnew patient registrations and temporary registrations.
Respondappropriately to verbal complaints and refer any unresolved issues to managementwhen necessary.
Useappropriate methods to communicate effectively within a team.Carryout a variety of clerical duties as and when required scanning, filing,faxing and photocopying.
Chaperonefor a clinician if requested.
Openpost received on site(s) and deal with it appropriately, scanning into theclinical system where required.
Recordepisodes from incoming items of post and log correctly.
Provideadministrative support for data quality.
Toassist with the daily production of prescriptions, nomads & repeatdispensing.
Toassist the support manager and other practice staff with the induction of anynew or temporary receptionist staff.
Actupon Doctors requests to follow up patients liaise with other agencies,secondary care, patients, families and carers on the practices behalf.
Takeand record messages for clinical staff home visits and further medicaladvice.
Sharedresponsibility for reception, waiting room and consultation rooms upkeep andtidiness including leaflets and posters.
Reportingof faults, equipment breakdown or failure, building maintenance to the supportmanager.
Process and acknowledge receipt of monies from patients, as required.
Beaware of Health & Safety policies and procedures and report any occurrencesof incidents to management, using the incident reporting procedure.
Openingand securing of premises as required.

Maintain an up-to-date knowledge of health and safety and infection controlstatutory and best practice guidelines and ensure implementation across thebusiness Usingpersonal security systems within the workplace according to practice guidelines Identifying the risks involved in work activities and undertaking suchactivities in a way that manages those risks across the business Making effective use of training to update knowledge and skills, and initiateand manage the training of others Usingappropriate infection control procedures, maintaining work areas in a tidy andsafe way and free from hazards, and initiation of remedial/corrective actionwhere needed Actively identifying, reporting, and correction of health and safety hazardsand infection hazards immediately when recognised Keeping own work areas and general/patient areas generally clean, identifyingissues and hazards/risks in relation to other work areas within the business,and assuming responsibility in the maintenance of general standards ofcleanliness across the business in consultation (where appropriate) with othersenior managers Undertaking periodic infection control training (annually) Routine management of own team/team areas, and maintenance of workspacestandards Demonstrate due regard for safeguarding and promoting the welfare of children.Equality and diversity.
