We're seeking a office coordinator to join our rapidly growing facilities team on a 12 month fixed term contract This pivotal role will operate in a hybrid capacity from our offices In Shalford (4 days a week on site).

 In this role - Overseeing, maintaining and ensuring the smooth and efficient day-to-day operations of the office, delivering an unparalleled employee experience while enabling exceptional business results.    The role is varied, providing both general operations support and opportunities to get involved in ad-hoc projects.  What you'll do Acting as first point of contact for office, including maintenance, cleaning, mailing, shipping, deliveries, supplies, equipment.   Managing ad-hoc projects & events working closely with suppliers and external and internal stakeholders to ensure projects are completed on time and within budget.   Providing general support to visitors, including answering office access intercom, greeting client visitors and directing accordingly.  Co-ordinating arrangements for internal and external meetings / team events / lunches.   Placing weekly office grocery supplies, taking delivery, monitoring and distributing across all offices on site(s).  Maintaining office equipment (copiers / plotters are operational and fully stocked with toner, paper etc.
).  Monitoring office stationery supplies, placing orders to replenish where appropriate.  Overseeing cleaning contractors; ensure office and facilities are well maintained, address issues, schedule regular deep clean sessions and communicate.  Manage and respond to office/facilities queries accordingly to include carrying out daily inspection the office.  Liaising with maintenance providers to co-ordinate building maintenance and repairs.  Overseeing fire safety measures: fire extinguishers, maintain up to date fire test and fire drill reports.  Arranging courier collections and deliveries.  Creating purchase orders, to ensure goods receipted and liaise directly with suppliers.  Monitoring and replenishing first aid kit equipment as required.  Providing support to the senior leadership team / provide project support.   Oversee day to day management of contracts with office vendors, service providers and office lease(s).   Supporting enquiries from the wider business and external suppliers.  Co-ordinating travel including making bookings / reservations.  Managing schedules and calendars / set-up process to co-ordinate meeting room bookings.  Who you are Degree in a business-related subject or equivalent experience (desirable) Relevant office management/operations/facilities management/project management experience, ideally gained in a start-up / high growth business where systems and processes are yet to be developed.  Excellent IT skills.  Personable with strong communication and relationship building capabilities across all levels of the business   A multi-tasker who successfully prioritises and executes against tight deadlines in a rapidly evolving work environment.   Courageous and ambitious - has a 'can-do' attitude and willingness to do whatever it takes to achieve great results; finding a way when encountering obstacles or setbacks.  Thrives in a fast-paced, start-up environment where change is constant, and structures and systems are new and constantly evolving.     About Us Forseven is building something new.
