With a great culture, hybrid and flexible working, and huge scope to progress, this is a great company to join.Role:Manage the agenda of the Managing DirectorCoordinate travel arrangements for the Managing Director.Process all expense reports for the Managing DirectorLiaise and interact with external key general partners and senior level executivesOrganize weekly team meetings and occasional team building events.Maintain Managing Director's contact database and responsible to provide and update lists as needed for specific projectsCarry out general administrative duties including filing, e-mailing, scanning and photocopying documents as requiredParticipate in business meetings, develop and distribute minutes, keep focus on agenda and relay action items to the appropriate persons within the teamCreate, proofread and edit complex documents, presentations, reports and statistics on department related informationMonitor and manage budgeting and contracting processesLiaise with internal business partners in the organization to collect appropriate data and documentation from various sources on a regular basisProject coordination for large events and meetings, and participation in special projects with other departmentSkills:Experience in a similar position, preferably in a financial or professional environmentAdvanced knowledge of Microsoft Office 365 (Outlook, Word, Excel, PowerPoint, Teams (Live Meetings), OneDrive) and other department specific systemsExcellent communications skills, both written and spokenExperience of proof reading, editing and minute takingData management and processing skillsExperience with data management systemsExperience with budgeting and project managementBachelor's degree or technical certification, an assetExcellent client service approach and high degree of flexibility to respond in a timely and positive manner to unexpected requestsAbility to identify, analyze and solve complex technical and administrative problems by analyzing risks and creating alternative solutions using technical tools and systemsEffective communicator when interacting with various stakeholders, verbally and in writing, and ability to adapt technical language to the audienceAptitude for processing amounts of detailed information with great accuracy and attention to detail by using different approaches and tools for checking outputsCapable of navigating in a fast-paced environment by displaying a high level of proactiveness, agility and accountability in meeting deadlineExcellent ability to prioritize and multitask a wide range of concurrent responsibilities and tasks to support management and the departmentBain and Gray is an equal opportunities employer.
