The Centre Administrator is a key member of the office team at each centre and is also there to support the Academic, Activity, and Welfare Managers as needed throughout the summer.
The main duties and responsibilities are listed below Duties: Centre Administration Supporting the Centre Manager with the following: Creating and sharing a weekly rota to ensure that all shifts are being covered, all team members are within their weekly hours and that everyone has at least one full day off per week.
Producing a weekly bedding list to be shared with the team from the host centre and used as a fire list and morning/evening rollcall list for the BSC team at the centre.
Plan and organize room allocation and reviewed weekly.
Planning/Confirming planned excursions and organising groups and materials.
Welcoming groups on arrival and organising registration (as needed) Produce a weekly meal list to be shared with the catering team from the host centre outlining how many of each meal needs to be prepared each day and organising packed lunches as needed for excursions.
Taking and writing up minutes for any formal meetings taking place at the centre Participating in daily/weekly SLT meetings.
Responding to enquiries from the BSC team at the centre, students, Group Leaders, Agents, members of the BSC central support teams and ensuring smooth channels of communication between all key stakeholders Managing the centre email inbox and phone Delivering a fully effective check-in/out service to students and Group Leaders, completing all relevant paperwork, updating database records, and ensuring all procedures are followed to provide the best possible experience for all arriving/departing students.
Running weekly reports to show all arrivals/departures, as well as any special requirements (additional excursions, dietary requirements, rooming preferences etc.)
Checking flight information and liaising with Activity and Welfare teams to ensure that all airport transfers are organised and that a meet and greet team are scheduled to be at the airport on arrival days.
Proactively dealing with any problems or issues that arise at the centre during programme delivery Academic Supporting the academic team with following: Completing any necessary academic administration e.g.
observation paperwork, handing out student questionnaires, student reports etc.
Running student testing, levelling, and placement efficiently Timetabling classes Collating and handing out student reports and certificates Social & Pastoral Supporting the Activity and Welfare Managers with the following: Working with the activities team to ensure smooth running of social programme Ensuring safety, welfare, and wellbeing of students whilst at the centre Supporting with mealtime rotas and planning Supporting with wake up and bedtime duties Promoting and safeguarding the welfare of children and young persons you are responsible for and come into contact with.
Adhering to the BSC Young Leaners Child Protection and Safeguarding Policy.
Providing safety and welfare assistance to all students.
Other In addition to the above, the Centre Administrator is required to: Work positively as part of a team.
Demonstrate a positive attitude.
Attend all centre meetings.
Act according to accepted professional standards at all times.
Act in the welfare of the students at all times.
Comply with centre and BSC rules and regulations.
Make sure you are clean, neat and presentable during working hours.
Comply with the BSC uniform policy.
Required Experience & Skills Essential Experience of working with multi-nationality students High level of computer literacy, particularly MS Office, email, and use of databases Excellent organisational skills Ability to work well in a team Ability to remain calm under pressure Enthusiasm for summer school life Right to work in the UK/EU (depending on the respective centre) Enhanced DBS (Disclosure and Barring Service) clearance.
Desirable Experience of working in an office environment Experience of working with children / teenagers in an educational context Experience of holding meetings and writing reports An additional Language Current valid First Aid certificate Child Protection and Safeguarding training Experience of British Council/Equals/ELT Council inspections Conditions Competitive salary depending on qualifications, experience, and centre size.

This post is offered on a residential basis.
Working hours may be unsociable due to evening activities, night duty, and the times of student arrivals and departures.
BSC YL Managers adopt a smart presentation policy in addition to wearing a uniform.
BSC YL lanyards are to be worn at all times.
There is at least one full day off per week, to be decided at the centre.

Criminal background checks in the form of a DBS (Disclosure & Barring Service) for UK residents, Garda Vetting for Irish residents, PVG for Scotland, 'Certificate of Good conduct' for France, 'Conduct Certificate' Malta as well as s police check from your country of residence (if not a UK or Irish resident) will be requested.
