Job summary An exciting opportunity has arose to join our Pharmacy, Optometry and Dental team (POD) as a Business Support Officer.
This role is a key part of the business support functions to primarily support with business needs, therefore we are seeking an organised and efficient administrator to join the team.
The core responsibilities include: Provide a high level, professional and confidential PA service, covering all aspects of secretarial, administrative and organisational support Provide diary management and administrative support for the wider senior team as necessary Arrange meetings and events and support the handling of travel and accommodation bookings Timely preparation and circulation of agendas, secretariat/minute taking as required.
Support the Business Manager in HR and recruitment - arranging interviews, and tracking annual leave Support procurement, including raising purchase orders and receipting invoices.
Assist in the production of reports, statistics research and other operational duties as required Administrative support for governance and assurance requirements Monitoring of shared inboxes including holding the pen on FOI's etc Our ideal candidate would have: Experience of working in a range of administrative roles in the NHS or similar organisations Experience of using common IT packages such as Excel, PowerPoint and Microsoft Teams A keen interest in learning and developing their skills Main duties of the job AsBusinessSupport officerthe post holder works as part of this dynamic high-profile team providing an effective strategic support function delivering improvedaccess to general practice services.
The post holder will form part of a team working across the Primary Care Group and assigned tosupportprogrammeareas according to overall strategic priorities and resource needs.
Primary Care Groupprogrammeareas currently include: Primary Care Commissioning Primary Care Insights and Delivery Improving access to general practice services Community Pharmacy strategy, contract negotiation & commissioning Dental and Optometry strategy, contract negotiation & commissioning In addition, the post holder may be asked to undertake any other reasonable duties required.
It should be noted that as programmes are evolving portfolios may be subject to change over time as the work develops.
This job description will therefore allow full flexibility for the post holder to lead priority projects in an evolving way, across the directorate.

Job description Job responsibilities In particular, the post holder will: Provide a high level, professional and confidential service to the Deputy Directors, covering all aspects of secretarial, administrative and organisational support, with a key responsibility being diary management; Provide high quality and efficient project and administrative support, including information management, supporting project reporting and analysis.
Organise meetings/events (including those with local sites and other external stakeholders), ensuring attendees receive accurate and timely information and that agendas are circulated in advance Acting as a point of contact for teams, dealing and responding effectively with complex queries from stakeholders and passing on relevant information to appropriate team members sensitively and autonomously.
Ensuring that all communications materials are up to date and communicated through appropriate channels, liaising with stakeholders where appropriate.
Supplying the relevant information required for financial management, supporting the Business Manager raising purchase orders, checking invoices for payment etc.
Support the management of projects across the units Have lead responsibility for discrete pieces of work Running and collating reports which may include reports to the Board and senior management as required.
Developing and maintaining effective electronic filing systems, to ensure that information is kept securely and is accessible to other members of the team Person Specification Qualifications Essential Educated to Degree level in a relevant subject or equivalent level of qualification or significant equivalent previous proven experience.
(2) Knowledge and Experience Essential Significant administrative/ secretarial experience including initiating and maintaining office systems (4) Significant previous experience in a senior administrative or business support role or equivalent experience of working in a large, complex organisation Advanced knowledge of Microsoft Office software applications (Word, Excel, Power point, Outlook etc.)
Significant experience in providing a confidential personal assistant service to Deputy Directors or above.

Ability to work without supervision.
