Job summary We are seeking an experienced, efficient, competent, and self- motivated team player to join our Scheduling team.The theatre scheduler will play a pivotal role in ensuring patients are scheduled for their surgical procedures.The post holder will need to have good general knowledge and skills in a hospital setting as this is busy and varied role.The post is fixed term for 12 months and is full time, hours per week.COVID Vaccine is not essential for this role.
Main duties of the job The post holder will be responsible for providing administrative support for consultants with their theatre lists, ensuring a smooth running of the service.
The role includes arranging and sending patients for their preop checks, scheduling their procedure date, and liaising with the relevant departments to ensure all equipment, special requirements, bed requests and any corresponding appointments are booked.

Job description Job responsibilities DUTIES AND RESPONSIBILITIES The post holder will ensure that the Surgeon, Anaesthetist, and staff are allocated to the correct theatre lists.
Input patient details into Theatreman once identified by the consultant from priority list of patients.
Input all required information from the surgical booking form on CWP All aspects of patient access relating to the patients planned procedure including contacting the patient.
Manage the timing of the procedure due to PPE process etc.
Ensure coding is correct for the specialised procedures.
Manage the surgical booking form ensuring it is updated in relation to the status.
Cross cover with the Anaesthetic and Theatres schedulers to ensure there is no single point of failure.
Pull all required data when requested , utilisation, procedure numbers etc.
To be responsible for administration services provided within their area of responsibility.
Attend and actively participate in diary meetings.
To further develop appropriate systems, policies, procedures, and management arrangements for delivering effective waiting list management.
Understand the 62 day and patient access targets and be able to advise others on waiting list management issues, including The Christie Private Clinic.
Review and analyse theatre data to track patients and take proactive action to support patient access targets.
To develop and implement measures to ensure that services are cost effective and undertake regular benchmarking and auditing of processes.
To ensure full compliance with all Trust Governance Standards including the assessment and management of identified risks.
To monitor theatre activity against service level agreements and to access targets to take appropriate remedial action where necessary.
Ensure the production of all monitoring and performance reports relating to theatres.
Development & Innovation To identify and implement new and innovative ways to improve the patients journey through to treatment within Theatres.
To assist in reviewing and developing new policies and procedures when identifying operational issues.
To take responsibility for his/her performance and take action to address identified personal development areas.
To support innovation and change within your area to underpin the modernisation of services, in line with the Trust transformational workstreams.
Undertake training programmes for the key users on theatre schedule and input data system.
Communication and Information Management To maintain and review effective information systems to facilitate the collation of theatre information and reports as required by the Management Team to meet both internal and external Trust reporting requirements.
To liaise closely with the independent sector colleagues to ensure that patient lists are supplied and received in a timely manner and maintain effective communication channels.
To liaise with ward managers regarding the level of planned admissions so duty roster can be planned in accordance with activity and expected date of discharge information.
To work along with senior theatre team in managing theatre schedule and staff rota.
Quality To work within the requirements of the Trusts integrated governance framework, ensuring that all policies relating to delivery of administrative services meet relevant legislative and policy requirements for the Theatre Service Financial and Resource Management To support the Service Managers with the management of budgets and to ensure all financial targets are met.
To work within budgetary constraints and to provide advice on the costs and benefits of planned developments within theatre scheduling.
People Management and Development To provide operational theatre administration support across the Directorate To promote the corporate values and culture of the organisation through the development and implementation of relevant policies and procedures appropriate to personal behaviour.

Person Specification Qualifications Essential NHS /Private Sector admin role working at Band 3 or above / private sector equivalent NHS/Private sector theatre scheduling Desirable NHS Trainee service manager experience NVQ Level 3 Diploma or equivalent ECDL or equivalent Experience Essential Experience of administrative or clerical work including a customer-facing dimension Desirable Experience of working within the NHS or private sector provider Skills Essential Excellent communication and interpersonal skills Good telephone manner Attention to detail IT literate Problem solving skills Ability to work unsupervised Able to work under pressure Tactful and diplomatic Desirable Familiarity with Microsoft office applications.
