Job summary The Bladder and Bowel Service is adynamic and developing facility where an enthusiastic team of specialist nursesprovide education, advice, support and clinical care for patients across andhealth and social care settings within Nottingham City.We are looking for an experienced,passionate, motivated and conscientious person to join this established team ofnurses and administrators.You will be working to support theBladder and Bowel Specialist nurses with comprehensive administrative tasks andbe a main point of contact and coordination for the clinicians and patientsusing the service; an excellent telephone manner is essential.
In addition, youwill have responsibility for coordinating prescriptions for continence productsand arranging appointments for patients.You will need to demonstrate excellentinterpersonal and communication skills.
This is a busy service, and you must beable to prioritise tasks and manage time effectively; you must also be able towork flexibly within the team ensuring cover during the service hours.Experience of using Systm One would be beneficial.Confidence in managing own workload in atimely and effective way, whilst dealing with patients / carers in a caring andprofessional manner is essential.The hours of work will be hoursover 5 days (Monday - Friday excluding weekends and bankholidays).Interviews will take place 03 December2024.
Main duties of the job To provide fullclerical/ administrative support to the Adult Bladder and Bowel Specialist Servicewithin Adult Services on a day-to-day basis.
To have a good working knowledge and experience ofMicrosoft Office in particular Microsoft Word to produce letters and otherword-processed documents to a high standard and knowledge of Microsoft Accessand Excel for developing in house databases / spreadsheets and Outlook fordiary management / e-mails.
To have accurate keyboard skills and diligence whenusing SystmOne To be responsible for answering and fieldingtelephone calls appropriately from a wide variety of sources where there may bebarriers to clear understanding.
To record telephone messages in writing andact promptly when urgent responses are required.To accurately collate and input data and producestatistics as and when required.To maintain diaries, make appointments, arrangemeetings etc.
as and when required.To take accurate minutes/ notes of meetings as andwhen required, including preparation and distribution of agenda and minutes.To undertake general office procedures includingphotocopying, filing and the distribution of mail.To implement and update office systems/procedures asrequired, in collaboration with the team.To provide full administration support for therecruitment process being the vital link between Team Managers, Candidates andHR.

To undertake any additional dutiesas appropriate and delegated by the Admin Team Manager and deputy and ServiceTeam Managers.
Person Specification Qualifications Essential Good working knowledge of Microsoft Office to include Outlook/ Word, Access and Excel.
Experience of effectively using Systm One.
Desirable ECDL/MOST qualification Customer Service Skills Skills & Attributes Essential Understanding of confidentiality/ Data Protection.
Excellent communication skills both written and verbal.
Minute taking skills.
Ability to prioritise workload and manage time effectively, demonstrating excellent organisational skills.
Ability to work effectively & reliably as part of a team.
Ability to use initiative, problem solving and decision-making skills.
Adaptable to change within the workplace.
Demonstrates a positive and can do attitude with a willingness to learn & develop.
Experience Essential Proven administrative experience.
Experience of dealing with sensitive/ confidential information.
Excellent communication skills and customer service experience with a variety of people.
Experience in managing own workload to meet deadlines where appropriate.
